What do I need to arrange myself before the transition starts?

Unique item numbers, a scannable barcode for each product, up-to-date inventory counts and your packaging preferences written down. That is where most of the work for a transition lies.

Most of the work during a transition does not happen in the warehouse, but on your end. The better your product data, barcodes and agreements are sorted out before you begin, the faster and smoother the rest of the process will go. Here is what you need to prepare.

Getting your product details in order

Make sure each item has a single unique number that is identical everywhere: in your webshop, in your purchasing system and on the packaging. Variants in colour, size or content are separate items, even if they belong together in your view. Duplicate or ambiguous numbers are the most common cause of errors that only surface later on.

Barcodes

Each item requires its own scannable barcode. If your supplier has already applied one, check to make sure it is truly unique for each variant. If it’s missing, have the supplier add it before you place your order. Applying barcodes after the fact creates extra work and will be billed at the applicable rate.

An up-to-date inventory count

Count your stock before sending it to us. What you register must match what actually arrives, as this serves as your starting inventory. A discrepancy you find now is simply a counting error; a discrepancy you find later requires an investigation.

Your packaging preferences

Think about what an order should look like when your customer opens the box. Standard packaging materials are included, but if you want to use your own boxes, inserts, gift wrapping, or product leaflets, let us know in advance. This ensures it is included directly in the working instructions rather than being handled as an exception later.

Special requirements

If your product range has specific requirements regarding storage, shelf life, batch tracking, or returns processing, be sure to specify them explicitly. The same applies to products with hazard labels, such as perfume or nail polish, as these require specific arrangements with the carrier.

Your shipping options and customer communication

Review the shipping methods you offer in your online store and check whether the names match those used in the warehouse. Mismatches here are a classic cause of incorrectly shipped orders. Next, check your confirmation and track-and-trace emails: is the return address still correct and does it fit your new situation?

Your planning

Choose a quiet time to make the switch. Moving during a major campaign or right before the holidays is possible, but it leaves you with little room to sort things out if issues arise. Also, assign a clear point of contact on your end so questions about items or agreements reach the right person immediately.
